Scope & Quote

Based on the overview, we define what is included, key assumptions, and how changes are handled. You receive a clear per-person coordination quote aligned with volume and travel pattern.

Kickoff & Payment Setup

Once scope is confirmed, the coordination fee is invoiced and paid upfront before work begins.
Travel costs such as flights, accommodation, and transport are funded by the client prior to booking—typically via a client-owned payment setup like Mynt.

Planning & Booking

We coordinate flights, accommodation, and transport according to the agreed scope and budget.
You work with a single point of contact and receive a structured overview once bookings are confirmed.

Changes & Ongoing Coordination

If dates, headcount, or requirements change, we handle adjustments within the agreed framework. Individual exceptions or out-of-scope changes are managed separately to keep coordination predictable.

Closeout & Continuation

After completion, we provide a short summary of what was coordinated and key notes for future planning. For recurring needs, we can establish an ongoing coordination setup to streamline future rounds.
